Overview

Challenge

One client had outgrown a legacy accounting system with years of disorganized records, no segmented reporting across service lines, and no reliable financial statements. The other had an active operation generating steady revenue but lacked visibility into job-level profitability — margins varied widely across projects, and subcontractor and material costs were difficult to evaluate until after a job was complete.

Solution

For the first engagement, we executed a full system migration to QuickBooks Online, including historical transaction cleanup, customer imports, accounts receivable reconstruction, and a chart of accounts built around the company's service lines. We delivered segmented P&L reporting by division with gross and net margin visibility, a rebuilt balance sheet, and a cost of revenue breakdown — producing financials suitable for internal decision-making, lender conversations, or buyer due diligence.

For the second, we provide ongoing controller support with a monthly financial package built around job costing. Every project is tracked with revenue, direct costs, subcontractor percentage, and material spend — giving the owner a clear margin picture by job. We analyze estimated versus actual performance to flag cost overruns, track work-in-progress for proper revenue recognition, and deliver executive-level reporting that ties job-level detail to the overall P&L.

Results

The first client went from unreliable books and no divisional visibility to a complete, presentation-ready financial picture — with margin differences across service lines surfaced for the first time. The second client gained a monthly view into which jobs are hitting margin targets and which aren't, with the data to identify whether subcontractors, materials, or pricing are the root cause on any given project.
